Getting Started 3: Clients, Products and Workflows

The building blocks used to create a meaningful Advvy campaign record requires:

  • Clients
  • Products
  • Workflows

Clients

Advvy contains both Master Client and Client Records.

Clients in Advvy are used in a number of ways:

  • To store client specific contact information
  • To link all client related campaigns to the client record
  • To contain client related products that can be specified in a campaign
  • To group client teams together – another way to control security around which users can see which campaigns are based on clients and/or products.
  • To be linked to the Client Portal for communication of controlled information to the client

A campaign cannot be created without selecting a Client.

Clients can also be related as child records to Master Clients, where a group of different clients can be managed and reported on by their parent master record.

All users have the ability to add new client records into Advvy, however, it’s recommended to check with your administrators if a client record already exists in the system.

To view/edit Clients select Clients in the main menu and then click on the Client name link to display related client information.

Products

Products are used in a number of ways:

  • as a way to add definition to a campaign record
  • as a way of grouping product teams together – another way to control security around which users can see which campaigns based on clients and/or products.

A product is optional when creating a new campaign for a Client.

All users have the ability to add new Product records for a client in Advvy, however, it’s recommended to check with your administrators if a product record also needs to be added to a Team Group of users.

To view/edit Products select Products in the main menu and then click on the Product name link to display related product information.

Workflows

Advvy has a single workflow engine where you can define templates for Campaigns and/or Projects.

Campaign management can include workflow tasks under a campaign for tracking purposes and typically involves services across business/client management, strategy, planning, buying, finance and performance monitoring functions.

A workflow can define a Campaign lifecycle, a specialised client delivery process, a set of internal business process steps or any other set of tasks needed to be followed.

Only Administrators and Extended Users have the ability to create workflows in Advvy.

Standard users can view the workflows available in the system by going into Agency Settings> Media Workflows

Workflows consist of Stages and Tasks. Workflows can have any number of stages and tasks and can be defined as:
