Task Management
For the majority of users, your experience with Advvy will be updating your assigned activities to indicate progress on the campaigns you are working on.
When tasks are getting close to their due date the health status will change from (green) Controlled to (yellow) At-Risk to (red) Critical. Any tasks that have At-Risk or Critical health will affect the health status for the entire campaign record.
Its a good idea to create a daily habit of updating your tasks in Advvy to ensure up-to-date health and progress for your campaigns.
There are a couple of places in Advvy where you can see your assigned tasks and action them. Take a look at some of the ways below – and choose your favorite way.
- Advvy Activities – the easiest way to see a list of all your active tasks across all campaigns – just for you!
- Advvy Team Work – a way to view your tasks and all of your Team members tasks in a dashboard with loads of different view options
- Campaign Workflow Activities – within a specific campaign, you can click through each stage to find your assigned tasks to update
Once you find your preferred way of viewing your tasks, there is number of different fields you can update to ensure accuracy in reporting:
- Update the status – Not Started > In Progress > Completed
- Update the date the task is due, was started, or completed
- Update any task description details or notes
- Update the person who did the work (if it wasn’t you)
Updating tasks can be done one by one, or via bulk-edit where it’s available.
Advvy Activities
The Advvy Activities section displays all tasks assigned to the user across campaigns but offers enhanced viewing and filtering capabilities. Users can find Advvy Activities in the My Work section in the main page of Advvy.
Advvy Activities provides different system views to help users manage their tasks. Users can navigate the different system views by clicking the drop-down arrow next to My Open Advvy Tasks.
Some common system views available inside the Advvy Activities section:
- My Advvy Activities Next 7 Days & Overdue– Displays all open tasks for the current user for the next 7 days only. Does not show Closed or Not Applicable tasks assigned to them.
- Active Advvy Activities – Displays At Risk, Controlled and Critical tasks across all campaigns and users the current user has access to.
- All Advvy Activities Next 7 Days & Overdue– Displays all open tasks for All users. Does not show Closed or Not Applicable tasks assigned to them.
- My Advvy Activities Completed This Week
- My Advvy Activities Open & Overdue – Displays all open tasks for the current user.
- Workflow Plan – Active Campaigns– Displays all tasks on a Gantt viewer
The Advvy Activities section also includes Advanced grid filters for users to further customize how your tasks are displayed. These filtering options offer a wide range of customization options for users beyond the Advvy created system views.
Updating a Task
From an Advvy Activities List view
- You can update a task with some in-field selectors – such as Progress Status, Assigned User and Assigned role.
- You can also select the task to view the full task details and update more information about the task if necessary.
- You can multi-select tasks and choose to edit common fields in bulk via the “Edit, Assign or Mark Complete” buttons on the ribbon
From a Kanban View
You can switch the Advvy Activities view from a List to a Kanban view, then drag and drop your tasks to update the status, or click the task name link to view the full task details.
From Advvy Team Work
You can update task status one by one or multi-select and bulk edit.
From Campaign Activities
You can select a Campaign and view the Workflow Activities and update tasks within each stage.
On a single task, you can update the progress via the in-field dropdown.
On one or more selected tasks you can select to bulk-update some key fields such as progress, assigned user, and due dates.
Double-click a task to edit the full task details.
Unassigned tasks
But wait -who will do the work for tasks that have not been assigned to anyone?
This is the biggest risk to any workflow process – having unassigned tasks means there is a gap in responsibility and a risk of key work being missed.
