In Advvy it is simple to create a new campaign record with a defined workflow process and have it ready for task assignment.
Tasks don’t have to be assigned to users, anyone with access to the campaign record can mark tasks as “In progress” or “Complete” to keep the campaign record up-to-date.
But wait -who does the work for tasks that have not been assigned to anyone?
This is the biggest risk to any business process – having unassigned tasks means there is a gap in responsibility and a risk of key work being missed, or even worse double-handling a task and using up valuable resource effort.
Advvy has a variety of ways to identify and assign unassigned tasks
The following sections will describe how to manage unassigned tasks using the different functionalities in Advvy. It’s important for managers, or anyone responsible for assigning tasks to others, to be aware of these functionalities.
Managing tasks within a single campaign
This section details the functionalities within a single campaign that allow users to identify and assign tasks. It’s a great place to start assigning tasks before moving on to more advanced functionalities.
Bulk edit functionality
The bulk edit function allows users to select multiple activities or subtasks and assign all of them to a single team member. This is much more efficient than assigning tasks to a user one by one.
The function is located within the Workflow Activities tab in a campaign. Simply check multiple activities, click the actions button, and select Bulk Edit Activities. From here, you can assign all the activities to a single user. There are many other options available for bulk editing, for a full list please see our Bulk Edit Functionalities guide.
Allocate Workflow: Assign Tasks
This is a more advanced functionality that requires user records and a workflow to be set up appropriately to work. It automatically assigns a client team to activities in a campaign by comparing user’s role and media type specialty with the role and media type specialty of activities in a workflow.
For more information on this assignment method please see our guide on workflow allocation functionalities in Advvy.
Advvy Team Work
Advvy Team Work is specifically designed for team management. There are advanced filtering and display options to view a collection of tasks across campaigns. Individual team members are displayed with counts of their overdue, currently assigned, and closed tasks. Totals of these counts are also displayed. These counts make it possible to quickly identify your teams workload per user and manage those tasks. For a detailed explanation and functionalities of this section please see our help guide on Advvy Team Work.
Advvy Activities Dashboard
The Advvy Activities dashboard provides a large number of system views that displays activities across campaigns. There are certain system views available to view open activities, which users can utilize to identify unassigned tasks. Each of these views can be sorted to display tasks that are not assigned to a user. Simply single click the “Assigned user” column header. These are listed below.
- Active Advvy Activities: Displays all active activities across campaigns.
- Active Advvy Activities (Overdue): Displays only inactive activities across campaigns.
- All Advvy Activities Next 7 Days and Overdue: Displays all activities due in the next seven days and all overdue tasks. This view is great to see all activities that need to be completed over the next seven days.
