Bulk Editing Activities in Advvy is a great way to manage multiple tasks at the same time. The functionality saves users a lot of time managing tasks and is highly recommended for all users.
To use this functionality, follow these steps:
- Go to the Campaign Section.
- Click into the campaign you want to manage.
- Click on the Workflow Activities Section.
- Check all of the tasks you want to Bulk Edit (remember, “Bulk Editing” means you are
changing the information for multiple tasks at the same time.) - Click on the small window icon with the pencil on it. It will appear to the right of the
plus and minus sign next to the filter button towards the top of the campaign. (It’s
very important to remember that this icon will not appear unless at least one task is
selected.) - After selecting at least one task, click the icon and the Edit Activities pop-up box will
appear on the right end side of the screen and you can update the tasks accordingly.
Explanation of fields available in the Advvy Activities box:
- Update Progress: allows the user to choose the progress status for all tasks selected. Options include Not Started, In Progress, Completed, Not Applicable.
- Assign User: selects the user that you want to assign to these activities.
- Assign Role: select the row that you want to assign to each of the tasks that you’re
editing. - New Due Date: This field changes the due date of all tasks selected to the same day.
- Shift Tasks (Days): this option gives the users the ability to either push back or bring forward the due date of all selected tasks relative to their original due date. For example, if you add 2 to this field, then the due dates of all the tasks selected will be pushed back by 2 days. So if an activity is due on 2nd, it will be due on the 4th. If you add -1 to this field, then all of the due dates will be brought forward by one day. So if they were originally due on the 3rd they will be due on the 2nd. This field is useful if you want to change the due dates of multiple activities relative to the activities initial due date.
Tips:
- Users can select multiple tasks by holding the control (Ctrl) key and then select anywhere on the tasks row outside of the task’s name.
- Users can select multiple tasks by clicking in one task, holding shift and then clicking on the tasks below it to highlight all of the tasks in between.
Bulk editing in the Advvy activities section
In the Advvy Activities Section users can also bulk update tasks. To bulk update tasks
follow these steps:
- Go to the Advvy Activities Section.
- Select at least one task that you want to edit.
- On the Ribbon Bar, towards the top of the screen, select “Edit Progress Status”
- Select the progress that you want to change all the tasks to.
- To edit other details of the task you have selected, click the Edit Button on the top. Ribbon Bar and there you can edit the Start Date, Due Date, and Assign User of the tasks selected.
Please, keep in mind that changing the Assigned User or the Due Dates of tasks that appear in the Advvy Activities Section could cause these tasks to disappear based on the view that you have selected. By default, the view is “My Advvy Activities Next 7 Days Overdue” which means users will only see tasks that are assigned to them, tasks that are due within the next 7 days, or tasks that are overdue. Users are encouraged to explore all the system views in the Advvy activities section by clicking on the “My Advvy Activities Next 7 Days Overdue” header and viewing the other views that are available.
